This explains what happens to personal information you give We Are Woodland through this website, who else sees it, and what you can ask us to do about it.

When you send a project enquiry

The Start a Project form asks for your name, email address, telephone number, the county the property is in, the type of property, a budget range, the kind of work you are considering, and a description of the project.

That is sent to the studio as an email, and nothing else. It goes to team@wearewoodland.co.uk through Resend, an email delivery service, with your address set as the reply-to so the studio can answer you directly. It is not added to a marketing list, not passed to any other company, and not used to advertise to you.

The lawful basis is that you have asked the studio to consider a project — the processing is necessary to take steps at your request before entering a contract.

When you use the concierge

The chat assistant sends what you type to Anthropic’s Claude API so a reply can be generated, along with the recent messages in that conversation for context. The conversation is not saved by this website and is not linked to you. If you would rather not have a message processed that way, do not type it into the chat — use the enquiry form or telephone instead.

Please do not put sensitive personal information into the chat. It is there to answer questions about the studio’s work, not to take instructions.

Analytics and advertising

Google Analytics 4 and Google Ads run only if you allow them in the cookie banner, and are off until you do. They tell the studio which pages are read and whether an enquiry followed an advert. You can change or withdraw permission at any time through Cookie Preferences in the footer. There is more detail in the Cookie Policy.

Hosting and measurement that runs regardless

The site is hosted by Vercel, which keeps ordinary server logs — including IP addresses — to deliver the site and protect it from abuse. Vercel’s own page analytics also run, measuring page views and loading speed. These set no cookies and do not identify you, which is why they are not in the consent categories.

How long information is kept

Enquiries arrive as email and are kept in the studio’s mailbox for as long as needed to answer you and, where the project goes ahead, for the life of that project and any period afterwards required for records and warranties. A defined retention schedule is being set. If you would like your enquiry deleted sooner, ask and it will be.

Your rights

You can ask for a copy of the personal information held about you, ask for it to be corrected or deleted, ask us to restrict or stop using it, and object to its use. Write to team@wearewoodland.co.uk and the studio will respond within one month.

If you are unhappy with how your information has been handled you can complain to the Information Commissioner’s Office at ico.org.uk, though we would rather you raised it with us first so it can be put right.

Changes

If what the site does with personal information changes, this page changes with it. It was last reviewed on 3 September 2026.
